Job Description
The Respite Enrollment & Recruitment Manager of Victory Junction provides the means of fulfilling the mission statement by being the liaison with parents, hospital contacts, and other parties regarding camper recruitment & admissions, application process, and transportation.
Essential Duties and Responsibilities

- Develop and refine the application and enrollment process for Respite programs to improve efficiency, clarity, and accessibility for families
- Oversee the full enrollment process for Respite programs, from initial inquiry through final acceptance
- Manage the CampSite admissions system, ensuring camper data is entered, maintained, and tracked accurately and confidentially
- Coordinate and process camper applications, ensuring required documentation is complete and aligned with program eligibility requirements
- Review and filter applications, supporting the Program Team in determining appropriate camper placements based on eligibility, needs, and program goals
- Prepare and organize enrollment materials and documentation for each program session, including medical forms, waivers, and care plans
- Serve as the main point of contact for all families interested in the Respite program, responding to inquiries, providing guidance, and maintaining timely communication throughout the application and enrollment process
- Recruit eligible campers through targeted outreach, community engagement, and partnerships with schools, service providers, and referral sources
- Promote the Respite program through various methods (i.e.. email campaigns, flyers, social media posts, community events, family info sessions, etc.)
- Maintain a comprehensive communication log and ensure consistent follow-up with families regarding application status, deadlines, and missing documents
- Collaborate with the rest of the Operations Team to ensure campers’ needs and preferences are considered in the selection and placement process
- Track enrollment data and provide regular updates and reports on application trends, waitlists, and program capacity
- Support seasonal and program staff with camper information, documentation prep, and logistics for each Respite session
- Ensure all enrollment activities comply with organizational policies, confidentiality requirements, and applicable health and safety regulations
- Develop written literature for the Respite program including general camp information, session programming and policies
- Be present for Respite program check-in and check-out and a selection of Family Weekend and Summer Camp check-in and check-out
- Be an active team player and contribute/promote a positive, professional culture for all

Education/Experience
- Bachelor’s degree or equivalent experience with camp experience a plus
- Demonstrated excellence in verbal and written communication
- Ability to work under tight deadlines
- Computer proficiency in Microsoft Office, database management, and word processing
- Any knowledge of medical terminology a plus
